Who we are

Greenane Car Rental Limited, trading as Pro Bus & Car Luxury Touring (“we”, “the office”) operates the ProCar Driver app for the chauffeurs and coach drivers who work with us. We are the data controller for the information described here. Contact us at info@probusandcar.com.

What the app collects

  • Your profile: name, email, phone number, PPS number, bank account details (IBAN and BIC) for wages, and the documents you upload, such as your driving licence and SPSV licence.
  • Your shifts and jobs: clock-in and clock-out times, the jobs assigned to you, job status updates, passenger signatures, and the notes you add.
  • Your location while clocked in: the app sends your position to dispatch only between your Clock In and Clock Out taps, about once every five minutes while the vehicle is moving. It uses your phone’s motion sensor to pause GPS when the vehicle is parked. Location is never collected while you are off shift: dispatch discards any position that arrives without an open shift or a live job, and a shift you forget to close is closed for you at the time you stopped working. Dispatch keeps only your latest position, not a trail. Each job keeps where the car was at On route, Arrived, On board and Done, so a customer’s question about waiting time can be answered. The app asks your permission before the first use.
  • Photos you take: vehicle checks, accident reports, cash receipts and revenue sheets, and your profile photo. The app uses the camera and photo library only when you tap a photo button.
  • Training and compliance records: training modules you complete, vehicle defect reports, and any infringement notices linked to your jobs.
  • Device information: a random device identifier the app generates so dispatch can tell which phone sent a location fix, and a push notification token so we can alert you to job changes.

Why we use it

  • To assign jobs to you and to pay you correctly, including overtime and bonuses.
  • To update a job automatically when you arrive and depart, and to let a waiting passenger see when their car is near.
  • To alert dispatch if a clocked-in driver on a live job stops reporting location.
  • To keep the records the law and our insurers require: vehicle checks, accident reports, licence validity and training.
  • To meet our obligations as your employer or contracting company under Irish law.

Legal basis

We process this information to perform our contract with you (assigning and paying for work), to comply with legal obligations (payroll, tax, transport and safety rules), and for our legitimate interest in running a safe and reliable service. Location on shift is part of doing the job; you can withdraw the phone permission at any time, and dispatch will then rely on manual status updates.

Who sees it

The office dispatch and payroll team see your profile, shifts, jobs and location while you are on shift. Passengers see only a live map position for their own booking while the car is en route, never your name or personal details.

We use these processors to run the app, each under a data processing agreement:

  • DigitalOcean (London data centre) hosts our dispatch system and database.
  • Vercel serves the web version of this app.
  • Google Firebase Cloud Messaging and Apple Push Notification service deliver push notifications to your phone.
  • Transistor Software supplies the on-device location library. It does not receive your data.

We do not sell your data and we do not use it for advertising.

How long we keep it

Job, shift and pay records, including the job milestone positions above, are kept for as long as Irish employment, tax and transport regulations require, which is up to seven years after the relevant period. Your latest position is overwritten by the next one. Photos attached to accident reports are kept with the report. Push tokens and device identifiers are deleted when you sign out or when the phone stops responding to them.

Your rights

Under the GDPR you can ask for a copy of your data, ask us to correct it, ask us to delete what we are not legally required to keep, and object to processing based on legitimate interest. Write to info@probusandcar.com and we will reply within one month. You also have the right to complain to the Data Protection Commission at dataprotection.ie.

Phone permissions in plain words

  • Location (all the time / Always): asked on your first Clock In. The “Always” setting is needed so the app keeps reporting while the screen is locked. It reports only while you are clocked in.
  • Motion & fitness: lets the app pause GPS while parked to save battery.
  • Camera and photos: asked the first time you tap a photo button.
  • Notifications: job changes, new assignments and messages from dispatch.
